Job Description: We are seeking a dedicated Administrative Assistant to support our business owners with various tasks. The ideal candidate will be responsible for:

Responsibilities:

  • Support with invoicing, A/R, expense reports and ability to adapt to changing priorities.
  • Perform a variety of administrative and clerical office support activities, including scanning, printing, photocopying, maintaining electronic and paper filing systems.
  • Work collaboratively with other team members and leadership.
  • Format, review and assist in the creation of moderately complex templates, letters, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials
  • Assist in the preparation of regularly scheduled reports
  • Coordinate and assist with internal and external meetings and preparation of supporting material
  • Assist with team meetings and team event planning, as needed
  • Record minutes at various meetings and distribute or archive them accordingly
  • Possess working knowledge of all systems used by the Administration team to assist with any inquiries and provide backup, as needed
  • Contribute to the development of new ideas and approaches to improve work processes
  • Handling in-person customer pickups, ensuring a positive customer experience.
  • Assisting with general office tasks and other duties as assigned by the business owners.

Qualifications:

  • 1+ years of administrative experience is an asset.
  • Experience working in a professional services working environment is an asset.
  • Intermediate to advanced skill level with Microsoft Office Suite, specifically; Word, Outlook, PowerPoint & Excel.
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously all while demonstrating flexibility
  • Displays an image of professionalism, discretion, integrity and tact with strong problem-solving skills, including a proactive resourceful approach to working with team members at all levels
  • Confidence in ability to work in a fast paced and ever-changing work environment
  • Discretion and confidentiality
  • Strong customer service orientation; a flexible and willing ‘can do’ attitude

Schedule:

  • Part-time hours
  • Daytime
